Overview of Location (Branch) in AlignBooks
In different industries, locations are called by various names like Branch, Store, Division, or Factory. In AlignBooks, you can label your location field with the name that suits your business, such as Branch or Store, and it will appear that way across the system.
If your business operates in multiple locations, you can keep separate financial records for each one. This makes it easier to track the performance of each location and make informed business decisions. AlignBooks also simplifies financial management by maintaining individual accounts for each location while automatically consolidating the financials for the entire company. This saves you the hassle of manually merging accounts at the parent level.
Process to Create New Location (Branch)
  • Click on 'Configuration' icon and select click on 'Locations' option.
  • Create New Locations/ Branch: To create a New Location/ branch, click on 'Create New Locations/ Branch' button.
  • Bulk Delete: To delete the multiple locations at once select them (checkbox provided next to the location's name) then click on this button. (Make sure the location don't have any transaction or data, only then the software will allow you for bulk deletion).
  • Refresh: After making changes to the location if changes doesn't appear you can refresh the screen. This will display the latest changes on the screen.
  • Help: Click on the help icon to access the step by step guide of the Process.
Now you can add the details of the location/ Branch.
  • Name: Mention the name which you would like to identify the Location/ Branch in the data.
  • Code: Code will be auto generated by the system.
  • GST No: Mention the GST No. of the location/ Branch. The companies whose Branch is in different state, GSTN No of that location will be different as well, therefore in that case GST details are mentioned in the Location/ Branch.
  • Party: A 'Party' refers to a Location Control Account, which is used to track financial and stock movement transactions for a specific location. Here, you need to choose the party managing the location.
To make things simple, Align Book treats locations like customers interacting with each other.
For example, if Location 'A' sends goods to Location 'B,' Location 'A' will reduce (credit) its inventory and record (debit) the value owed by Location 'B.' Similarly, Location 'B' will increase (debit) its inventory and record (credit) what it owes to Location 'A.'
  • e-way username: To generate an e-way bill directly from the AlignBooks software, you need to provide the e-way/ e-Invoice username.
  • e-way password: Mention e-way/ e-Invoice password.
  • GSTN Username: You can provide the GSTN username here to upload the GSTR data directly from the software at the specified location.
  • GSTN Password: Mention the GSTN password here.
  • Other License 1: If your Location/ Branch have any other licenses then you can mention it here.
  • Other License 2: Similarly, you can mention the license Number here also.
  • Bank Detail: You can mention the Bank Details.
In the Address section, you can provide location-related details, which will be printed on invoices and reports. The state and city fields are mandatory, and if your state or city is not listed, you can create them as needed.
Click on 'Save' button to save the changes.
  • Clear Filter: Click on the Clear Filter icon, to remove all the filters you have applied on the list.
  • Show Filter: Through the ‘Show Filter’ icon, you can enable column-wise filtering. Once activated, a search icon will appear at the top of each column, allowing you to filter the list easily.
  • Excel: You can export the all data in excel file also, to export the data click on excel icon.
  • Search: To search any record in the list, only type the related information in search box, software will display the result on the screen.
  • Through the 'Edit' icon you can make changes or updation to the location/ branch master easily.
  • With the help of the 'Cross' icon, you can delete the specific location as required.
In this way you can Manage Locations/ Branches in AlignBooks.
